College ERP Pricing in India: What Colleges Actually Pay
By Founder, Eduvy · Published 7 Sep 2026 · Updated 8 Sep 2026 · For Colleges · Editorial policy
Most Indian college ERP vendors do not publish a price, so the honest answer to "what does a college ERP cost" is: it depends on what you negotiate, and the licence fee is rarely the largest number. Of the well-known products in this market, only a couple state a figure anywhere public. The rest quote on request, which means the price you pay depends on your student count, your module list and how well you run the procurement. This article sets out the four pricing models in use, the numbers that are actually published, and the cost lines that show up after you sign.
The four pricing models
1. Per institute per year (flat SaaS)
One annual fee for the whole institution, usually with unlimited users. Easy to budget, and it does not punish you for growing. Fedena, from Bengaluru-based Foradian Technologies, sells this way and publishes the numbers: Rs 50,000 + GST per year for Standard, Rs 75,000 + GST per year for Premium and Rs 1,00,000 + GST per year for Ultimate, each billed yearly with unlimited users. A fourth Enterprise tier, which includes the product source code, is quoted on request.
One caution on comparing quotes: the same three Fedena tiers appear on the Techjockey marketplace in US dollars rather than rupees. Whenever you see a price on a marketplace listing, confirm the currency, the billing period and the module list against a written quote from the vendor.
2. Per student (or per user) per year
The most common model quoted to Indian colleges, because it scales with the institution. Published examples are rare. A SoftwareSuggest listing for iCloudEMS shows Rs 250 per user per year (the same page carries a conflicting figure in dollars elsewhere, which is a good illustration of why marketplace listings are a starting point, not a quote). Jupsoft states on its own site that pricing is "completely based on the number of students, needed features/modules and level of customization."
The trap in per-student pricing is the definition of "student". Ask in writing whether the count is sanctioned intake, enrolled students on a fixed census date, or active logins - and what happens in a year when admissions dip.
3. Per module
A base platform plus a price per module. This looks cheap in year one and expensive in year three, because the modules you did not buy are exactly the ones you discover you need: examinations, hostel, transport, payroll. If a vendor prices per module, insist that the quote lists every module included and the list price of every module excluded.
4. One-time licence plus AMC
A perpetual licence with an annual maintenance contract for support and updates. Still common in tender-driven procurement at government and larger institutions. One college ERP vendor, Codingclave, publishes its own product at Rs 3,00,000 one-time, or Rs 10,000 per month on cloud - useful as an order-of-magnitude reference, though it is that vendor's own marketing page rather than an independent survey.
What is actually published
| Product | Published price | Where published |
|---|---|---|
| Fedena | Rs 50,000 / 75,000 / 1,00,000 + GST per year, per institute | Vendor's own pricing page |
| iCloudEMS | Rs 250 per user per year | SoftwareSuggest marketplace listing |
| Codingclave | Rs 3,00,000 one-time or Rs 10,000/month | Vendor's own blog |
| Camu | Price available on request | Techjockey listing |
| MasterSoft | Price available on request | Techjockey listing |
| Academia ERP, Creatrix Campus, Entab, Teachmint, Vidyalaya | Quote form only, no figure | SoftwareSuggest listings |
| Jupsoft | Based on student count, modules and customisation | Vendor's own page |
| TCS iON | Not published | - |
| Eduvy | Not published | - |
That table is itself the finding. In a market of a dozen serious products, two publish a number. Budget on the assumption that you will have to run a comparison yourself, on identical scope, across at least three vendors.
The costs that are not in the quote
Implementation, migration and training
These are one-time but not small, and are usually quoted separately or not at all until the licence is agreed. Codingclave's published breakdown gives the order of magnitude for an Indian college: implementation and configuration Rs 1-5 lakh, data migration Rs 50,000-2 lakh, training Rs 50,000-2 lakh. The same page puts total annual spend at Rs 2-5 lakh for colleges under 1,000 students and Rs 5-12 lakh for 1,000-5,000 students. Treat these as one vendor's published estimates, not a market survey - but use them as a sanity check when a quote arrives with migration and training marked "free".
Ask specifically how many years of historical student, fee and result data the migration covers, and what happens if your current data is inconsistent. Cleaning bad legacy data is where migration projects overrun.
Payment gateway charges on fee collection
If the ERP collects fees, the gateway takes a cut of every rupee, and at Indian fee volumes this dwarfs the licence. Published rates from four Indian providers, as of September 2026:
| Provider | Headline domestic rate | Notes |
|---|---|---|
| Razorpay | 2.00% platform fee | Plus 18% GST; Razorpay's own explainer notes a 2% platform fee works out to 2.36% all-in. Applies to UPI, RuPay, other debit and credit cards, netbanking and wallets. |
| Cashfree | 1.95% platform fee | Same base rate across UPI, debit, credit, 70+ netbanking and wallets. International cards 2.99% (Visa/Mastercard), 2.95% (Amex). GST at 18% is deducted from settlements even where the platform fee is waived. |
| PayU | 2% MDR domestic | 3% for Diners, Amex, EMI and international. 18% GST on all transactions. |
| Instamojo | 5% + Rs 3 (Lite/Starter), 2% + Rs 3 (Growth) | Growth plan itself costs Rs 14,999/year; Starter Rs 6,999/year. 18% GST per transaction. |
An important nuance: government policy has set zero MDR on UPI and RuPay debit, but Razorpay's own explainer is explicit that "while the Govt charges 0% MDR, Razorpay charges a 2% Platform Fee for using their gateway technology." Zero MDR does not mean zero cost to the college. On Rs 10 crore of annual fee collection, a 2% platform fee plus GST is roughly Rs 23.6 lakh - many times any licence fee in this article.
This is the specific reason Eduvy's fee collection runs on the NPCI Bharat Connect (BBPS) network through an Axis Bank Biller Operating Unit connection alongside a gateway, rather than a gateway alone. Whatever route you choose, get the effective all-in percentage in writing, by payment method, before you compare vendors.
SMS and WhatsApp credits
Fee reminders, attendance alerts and exam notices are usually billed as credits on top of the licence. Bulk SMS provider MSG91 publishes India rates tiered by volume: Rs 0.25 per SMS at 5,000 messages, falling to Rs 0.20 at 16,500, Rs 0.18 at 30,000, Rs 0.17 at 60,000 and Rs 0.16 at higher volumes, with a minimum listed package of 5,000 SMS at Rs 1,250 before GST.
Two compliance costs sit behind those rates. TRAI requires every sender of commercial communication to register as a Principal Entity on a DLT platform, register an alphanumeric header of up to 11 characters, and register the content template of each message before sending; promotional messages additionally need consent captured through a registered consent template. Unregistered messages do not go out. Ask who does that registration - you or the vendor.
WhatsApp is billed separately again. Meta moved the WhatsApp Business Platform to per-message billing with effect from 1 July 2025, across four template categories: marketing, utility, authentication and service. Meta's documentation also confirms billing localisation launched on 1 January 2026 for eligible customers in India, with a migration deadline of 31 December 2026. Get the current INR rate card from your provider in writing, because the categories are priced very differently and admission campaigns fall into the expensive one.
The rest of the list
- Integrations. University result portals, biometric devices, Tally or accounting software, and DigiLocker or ABC uploads are often chargeable one-time development.
- Additional environments. A staging or training instance, if you want one, is sometimes extra.
- Annual escalation. Multi-year contracts commonly escalate. Get the percentage capped in the contract, not left to renewal negotiation.
- Exit. Data export in an open format at termination should be free and contractual. If it is not written down, it is a bill later.
- GST. Every price above is quoted before tax. Fedena states "+ GST"; all four gateways state 18% GST on their fees. Confirm the applicable rate on your ERP contract with your auditor.

Fill this in for three vendors on identical scope. The ranking usually changes once the bottom half of the table is populated.
Frequently asked questions
What is a realistic annual budget for a 2,000-student private college?
No neutral survey exists to answer that precisely. The only published reference points are Fedena's flat Rs 50,000 to Rs 1,00,000 + GST per institute per year, and one vendor's own estimate of Rs 5-12 lakh a year for colleges of 1,000-5,000 students. The gap between those tells you how wide the market is. Build the budget from the checklist above rather than from a headline figure.
Why will vendors not publish prices?
Because scope varies enormously between a single-stream college and a multi-campus university, and because quote-on-request lets a vendor price to the customer. It is normal in this market. It is also why running three quotes on identical written scope is worth the effort.
Is per-student pricing better than a flat fee?
Per student is fairer if your intake is small or volatile. Flat per-institute is better if you are growing, and it makes multi-year budgeting simple. What matters more is the definition of the count and whether the module list is fixed.
Do zero-MDR UPI rules mean fee collection is free?
No. Government policy sets zero MDR on UPI and RuPay debit, but gateway providers charge their own platform fee on top - Razorpay states 2% and Cashfree 1.95%, plus 18% GST in both cases. Ask for the all-in cost per payment method.
What is the single most under-budgeted line?
Data migration, followed by payment charges. Migration is one-time but overruns when legacy records are inconsistent; payment charges are small per transaction and very large per year.
