Admission CRM vs Spreadsheets: When a College Should Switch

By Founder, Eduvy · Published 7 Sep 2026 · Updated 8 Sep 2026 · For Colleges · Editorial policy

A spreadsheet stops being the right tool for admissions at the point where more than one person needs to know what happened to a lead, and nobody can reconstruct it. Not at a particular enquiry volume - at the point where follow-up depends on someone remembering. An admission CRM is a shared system of record for enquiries: it captures leads from every source, assigns them to counsellors, records every call and message, and reports the funnel as a number rather than an opinion. This article sets out when the switch is worth making and what to check before you buy.

Seven symptoms that the spreadsheet has stopped working

  1. Two counsellors call the same parent, and neither knows. Duplicate outreach is the clearest sign that lead ownership is not recorded.
  2. You cannot say how many enquiries came from any single source. If the Meta campaign, the listing portal, the walk-in register and the phone log are four separate files, cost per admission is unknowable.
  3. Follow-up depends on someone's memory or a personal diary. Leads that need a second call in ten days quietly expire.
  4. The counsellor who leaves takes the pipeline with them. If the handover is a WhatsApp export, the relationship history is gone.
  5. Reporting is a weekly copy-paste exercise. If the trustee's Monday number is assembled by hand, it is late and it is contested.
  6. Nobody can answer "what happened to this enquiry?" without three phone calls.
  7. The admitted-student list and the enquiry list do not reconcile. Admissions that never appear as leads mean your conversion rate is fiction.

One or two of these is survivable. Four or more, at any volume, means the cost is already being paid - in lost admissions rather than in software.

What spreadsheets are and are not limited by

It is worth being accurate here, because "the spreadsheet is too small" is usually the wrong diagnosis. Excel supports 1,048,576 rows by 16,384 columns per worksheet. Google Sheets allows up to 10 million cells or 18,278 columns. No college's enquiry list is near either ceiling.

The real limits are behavioural, not technical: a spreadsheet has no concept of ownership, no enforced next action, no record of a call that was attempted and not answered, no audit trail of who changed what, and no way to send a compliant message. Those are the gaps a CRM fills. Do not switch because the file is big; switch because the file cannot tell you what happened.

What an admission CRM actually does

Lead capture from every source

Enquiries arrive from campaigns, listing portals, the college website, walk-ins, phone calls, education fairs and consultants. A CRM's first job is to pull all of these into one queue and deduplicate them. Meritto states integration with 200+ lead sources, 40 ERPs and 20 exam systems; ExtraaEdge describes lead aggregation from multiple channels with junk-lead and duplicate filtering and source-touchpoint tracking. Whichever product you look at, ask specifically how a walk-in and a phone enquiry get into the system, because those are the ones that get lost.

Assignment and follow-up

Leads must land with a named counsellor under a rule, not by whoever picks up. Meritto describes distribution by program, campus, language or performance; ExtraaEdge describes automatic assignment by predefined rules plus lead scoring that adjusts over time. The follow-up half matters more: a task with a due date, visible to a supervisor when it is missed.

Calling and messaging

Counsellors work the phone. A CRM should log every call against the lead - including unanswered ones - and let the counsellor dial from the record. ExtraaEdge lists click-to-call, bulk SMS and WhatsApp, and two-way WhatsApp; Meritto describes omnichannel nurture across WhatsApp, email, SMS and voice.

Application and document handling

The handover from enquiry to application is where most leakage happens. Meritto lists a form builder, an application manager with scoring and document verification, and fee payment through a linked platform. If your CRM and your admissions system are separate, decide now who owns the record after the form is submitted.

Funnel reporting

The point of the whole exercise. ExtraaEdge claims 150+ reports including counsellor performance and ad-channel ROI. What you actually need is small: enquiries by source, contacted within a defined window, applications, fee paid, admitted - as one chart, refreshed automatically.

The compliance layer nobody budgets for

An admission CRM dials and messages members of the public, and India regulates both.

  • SMS requires DLT registration. TRAI requires senders of commercial communication to register as a Principal Entity, register an alphanumeric header of up to 11 characters, and register the content template of each message before sending. Promotional messages additionally require "consent of customers through a registered consent template." TRAI's guidance is blunt about the consequence: "Failing to follow any steps will not allow you to send CC."
  • WhatsApp requires template approval and respects a window. Meta's documentation states that "template messages generally require approval before you can send them" and that templates are "the only type of message that can be sent to WhatsApp users outside of a customer service window." That window is defined precisely: "When a WhatsApp user messages you or calls you, a 24-hour timer called a customer service window starts... When the window closes, you can only send pre-approved template messages." Meta moved the platform to per-message billing with effect from 1 July 2025, across marketing, utility, authentication and service categories.
  • Unsolicited commercial communication is regulated. TRAI's TCCCPR framework governs commercial communication and has been amended repeatedly, most recently through a Second Amendment in February 2025 and a draft Third Amendment out for consultation.

Ask any CRM vendor who holds the DLT registration, who submits WhatsApp templates for approval, and how consent is recorded against a lead. These are project tasks with lead times, not checkboxes.

What it costs

ProductPublished price
Zoho CRMRs 800 (Standard), Rs 1,400 (Professional), Rs 2,400 (Enterprise), Rs 2,600 (Ultimate) per user per month, billed annually; free tier for 3 users; taxes extra
LeadSquaredSales Pro Rs 2,500 and Sales Super Rs 5,000 per user per month, billed annually; Marketing Pro Rs 90,000 and Marketing Super Rs 1,49,000 per account per year
MerittoNot published - demo or callback only
ExtraaEdgeNot published - demo only
Salesforce Education CloudNot published; 30-day free trial offered
Ava by EduvyNot published

Two things to note. Per-user pricing means the bill scales with counsellors, which is the right shape for most colleges but expensive if you add seasonal staff for the admission season - ask about seasonal licences. And generic CRMs like Zoho are cheaper per seat but arrive with no admissions model; you build the stages, forms and reports yourself.

Before signing anything, run one week of enquiries through the shortlisted product with real counsellors. A demo shows the software; a pilot shows whether your team will use it.

What Ava by Eduvy does specifically

Ava is not a general CRM with an education skin. It is an autonomous voice agent that calls and qualifies enquiries before a counsellor spends time on them, with a CRM around it. Per its published description: leads arrive from Meta, CollegeDunia or upload and are deduplicated by phone number; Ava dials in under 60 seconds from lead creation and works round the clock on both outbound and inbound calls; it speaks Hindi, Tamil, Telugu, Kannada, Malayalam, Bengali, Gujarati, Punjabi and English, with natural Hinglish code-switching, using streaming speech with real turn-taking and barge-in.

On each call it captures programme of interest, intended intake, marks, location and timeline, and produces a live 0-100 lead score. Counsellors get score-ranked leads in a mobile app with an AI briefing, a hot-lead card and the full call transcript attached, and WhatsApp opt-in follow-ups carry one conversation memory across channels. Notably for a college that is not ready to replace its systems: "No ERP integration is required to launch."

Where it is not the answer: if your problem is application processing, document verification and offer letters rather than first-contact speed, that is the admissions platform, not Ava. And if you have very low enquiry volume handled same-day by one person, an autonomous calling agent is solving a problem you do not have.

Ava is at eduvycrm.com, and sits alongside the ERP, admissions and fee collection products described on the colleges page.

Frequently asked questions

At what enquiry volume does a CRM pay for itself?

There is no reliable published threshold, and any specific number you see quoted is usually a vendor's. Judge by the symptoms above instead: shared ownership of leads, multiple sources, and a need for source-level cost matter far more than raw volume.

Can we not just use Google Sheets with forms?

For a single counsellor and one lead source, yes. The technical limits are generous - 10 million cells in Sheets, over a million rows per Excel sheet. What a sheet cannot do is enforce ownership, record attempted calls, prove consent for messaging, or produce a funnel that two people agree on.

Is a general CRM like Zoho good enough?

It can be, and it is cheaper per seat. You will build the admission stages, application forms and reports yourself, and you will integrate calling and WhatsApp separately. Education-specific products arrive with that modelling done. It is a build-versus-buy decision inside the buy decision.

What about WhatsApp - can counsellors just use their own phones?

Many do, and it is why history disappears when they leave. Sending at scale means the WhatsApp Business Platform, which requires template approval, respects a 24-hour customer service window, and is billed per message across marketing, utility, authentication and service categories.

What is the most common implementation mistake?

Buying the CRM and leaving lead capture manual. If walk-ins and phone enquiries still get written in a register, the CRM reports on a fraction of the funnel and the old spreadsheet quietly survives alongside it.
